Recent small-business surveys suggest that a large share of owners already use AI in some form, with one 2026 survey putting it at about two thirds. The same surveys also show a gap: many owners say they need more training, and far fewer have tools set up to fit how their business actually runs. Using a chatbot occasionally is not the same as having a process that runs on its own.
What is worth automating first
Lead intake and follow-up. When someone fills out a form, a workflow can log them in your CRM, notify the right person, and send a first reply within minutes.
Repetitive data entry. Copying details between email, spreadsheets, and software is slow and error-prone, and it is one of the easiest things to automate.
First-line questions. An AI assistant can answer common questions and hand off anything it cannot resolve to a person.
Reporting. Pulling weekly numbers into one summary saves an hour that can go back into the work itself.
What to be careful about
Automation should have a person reviewing important outputs, especially anything customer-facing or involving sensitive data. Start with one workflow, measure the time saved, and then add the next. Be wary of any provider that promises to automate everything at once.
